POSITION:  Executive Administrative Assistant

LOCATION:  Laboratory Alliance of CNY at our Corporate Location; Liverpool, NY 13088

ABOUT US: Laboratory Alliance is the area’s largest state-licensed laboratory, providing clinical and anatomic pathology testing to a 16-county region in Central New York. As the laboratory of choice for most local healthcare providers, more than 10 million tests are performed annually at our laboratories at our Operations Center in Liverpool and at Crouse Hospital in Syracuse, N.Y.

POSITION SUMMARY: Under the general direction of the senior administrative staff, the Executive Administrative Assistant may have frequent contact with hospital employees, physicians, pathologists, nursing personnel, laboratory personnel, vendors, and regulatory or accrediting agencies and performs various support duties that may include but are not limited to:

  • Scheduling appointments,  event planning, corporate announcements, and attending meeting to take meeting minutes
  • Handling and working with confidential information and communications on behalf of CEO, directors, and managers
  • Drafting memos and editing communications on behalf of the senior administrative staff
  • Updating and maintaining various databases, spreadsheets, and corporate documentation
  • Handling affiliate and student files, placing reference calls, and outreach to current staff
  • Ordering and stocking supplies, distribution of mail, safety checks, and liaison to location management
  • All other duties performed as assigned.

EDUCATION: 

  • Must possess an Associate’s Degree in Business Management, or relevant vocational training.   
  • A minimum of two years of experience in an administrative assistant capacity in a corporate environment.

WORK ENVIRONMENT AND HAZARDS: 

  • The work environment is primarily an office setting with no exposure to communicable diseases, blood borne pathogens, toxic substances, and other conditions common to a healthcare environment.

  • The employee is regularly stationary for extended periods of time. 
  • Frequently required to perform duties associated with the use of a computer and other office equipment.
  • To communicate and exchange accurate information with other staff and clients in person, over the phone, and electronically.
  • Ability to determine and detect differences in size, color, numbers, and letters. 
  • Occasionally required to move about from office to office, position one's self lower and higher to access files.
  • Ability to often move up to 10 pounds and occasionally move up to 30 pounds.

SKILLS AND OTHER REQUIREMENTS: 

  • Exercises decision-making skills, possess exceptional personal judgment, proceed with a tactful manner,
  • Effectively communicate both verbally and in writing, exceptional organizational skills, seek additional tasks when less busy, and ability to work independently with little supervision.
  • Proven interpersonal and communication skills, ability to adapt to changing workload and stressful situations, the ability to prioritize tasks, and the ability to work with confidential information.
  • Must have extensive knowledge of Microsoft Applications, Zoom, and Outlook.
  • Must have strong written English skills with the ability to edit.
  • Knowledge of laboratory and/or medical terminology, a preferred.
  • Must be willing and able to learn new applications such as SunQuest and QMS.
  • Must be fully vaccinated for COVID-19, as per NYS regulations and guidelines for healthcare workers.
